Tools We Use

Our mission:
Our team has used a ton of tools, and we are constantly experimenting with new ones. We've shortlisted below the ones we recommend to moms who are just starting their own business or have a small business. These are tools that we think are easy to use, make your life easier and can help you scale your business. There is plenty of other software that we really like, but they don't make this list due to pricing, learning curve and feature set considerations.

OUR TOOLKIT RECOMMENDATION:
  • Notion - A collaborative workspace for you and your team
  • Jasper - An AI writing assistant, parameterized for content creators and business owners
  • SEMRush - Keyword research planner, with extensive tools to level up your marketing
  • Canva - All-in-one simple platform for image and video content creation
  • SquareSpace - Webpage and domain hosting, includes basic analytics and blogging features
  • Figma - FigJam for collaboration and whiteboarding; Figma for wireframing
  • Substack - The leading newsletter platform
  • Webflow - Really robust website building and hosting software, but has a steep learning curve
  • TinyIMG - an image compression and optimization tool essential for SEO. It can even convert to WebP!

METHODOLOGY

How we choose our tools recommendations:

  • We’ve used it and continue to use it in our line of business, both as creators and/or as professionals in the tech space.
  • We’ve used its competitors and have found it either inferior in some way, too complex, or too expensive.
  • We’ve bought it and have evaluated the cost to value it has for us as creators and to businesses we serve.
  • Our toolset is currently targeted towards omni-channel creators and self-employed entrepreneurs. As we expand our research and use cases so will our toolset recommendations.
  • We think it’s critical (or at least net positive) to the monetization and branding for entrepreneurs who are creators, independent consultants, freelancers, coaches, and fractional c-suite advisors.
We may or may not receive affiliate referrals for some of the recommendations listed here. However, we only include software on this list if it meets our criteria set forth above, and any referrals helps us pay for the software we purchase and test to make recommendations.

MARKETING & PRODUCT DEVELOPMENT

Notion
One of the reasons we love Notion is because it’s not clear what it is. Notion’s freeform nature and highly flexible customization nature means you can practically do anything or nothing with Notion. What Notion can do for you is only limited by your imagination (and possibly not payment processing). We use Notion for team meeting notes, content planning and tracking, blog drafting, asset management, random notes and ideas, and general collaboration. As a remote team, Notion acts as our hub bringing together all of our disjoint pieces into one place.
Solutions: Wiki pages, Knowledge Base, Content Management, Project Planning, Collaboration, Docs, Data Table
Other tools we’ve used: Asana, Confluence, Airtable, Trello, Google Sheets, Docs, Google Sites

Jasper
ChatGPT has been all the rage in new AI technology, but we think that Jasper has ChatGPT beat when it comes to an AI writing assistant. Focused on providing AI tools for content creators focused on written content, blog articles written with Jasper can help you get through writer’s block. It’s built-in plagiarism check tool is a must have for any writer utilizing AI writing assistants. With Jasper, we could go from ideation, outlining, and drafting within a few minutes. Naturally, we spend extensive more time beyond on that to edit and polish, but it speeds up the creative process immensely. This is ideal for freelance writers, project managers, or virtual assistants who can utilize Jasper to spin up new write-ups in minutes to allow you to service more customers faster.
Solutions: Blogging, Static Images, Social Media Posts, Newsletters, Topic Research
Other tools we’ve used: ChatGPT, Our own brains

SEMRush
SEMRush is the industry leading in keyword search and planning. If you’re planning on doing any sort of SEO (which is recommended), then SEMRush is a must have for keyword research, planning, and SEO site audits. Its powerful suite of tools is also immensely user friendly. Furthermore, it has excellent content in all areas of marketing in addition to SEO, making it an invaluable knowledge base alongside Search Engine Land as our go-to SEO source. The only drawback is its high price tag. For creators on TikTok or Instagram, delaying SEMRush would be wise from a cost perspective.
Solutions: SEO, Blogging, Instagram, Digital Product
Other tools we’ve used: Google Search, Google Trends, Ahrefs

Canva
It's the easiest software to use to generate images, graphics, animations, and videos for your webpage, social media, and even your kid's birthday party e-card. Canva's intuitive point and click interface turns non-artists into creators with ease. We may not be the next award winning digital artists, but lean founders can still get content out there and start building their portfolio.
Solutions: Social Media content, Basic animations, GIFs, Basic Video Editing, Stock images, graphics, and videos
Other tools we’ve used: Adobe Express, Adobe Illustrator, Adobe Photoshop, Kittl, InVideo, Camtasia

Squarespace
Our preferred vendor for website building and domain hosting. Your all-in-one platform for website management. Instead of stringing together a Wordpress with a GoDaddy, Squarespace seamlessly can both host your website and your domain. The infinite number of sleek templates and easy to use built in tools for basic analytics, blogging, portfolio display, and e-commerce store.
Solutions: Website, Domain Hosting, Online Store
Other tools we’ve used: Webflow, Google Sites, Wordpress

Side Comment:
For our website, we use Webflow. There are far more extensive capabilities available on webflow, but for most users, the learning curve is unnecessarily steep and expensive. It’s target audience are more tech-savvy companies, who are our consulting businesses’ clients.

Figma
Figma started as a design platform and has since expanded to include FigJam and Figma Dev Mode. We think this upstart in design has a lot more to offer. For new users, we’d recommend starting with FigJam to help with ideation and brainstorming. This is a great place to sticky note your ideas, plan, and manage your project flow in an organic flow. FigJam is also an excellent product for remote, live collaboration and is ideal for customer intake sessions for entrepreneurs doing consulting or customer research. Most importantly, Figma has kept its pricing affordable which makes it an attractive platform for creators and entrepreneurs. As a side note, we also particularly love Figma’s content first marketing strategy. It’s bottoms up approach of going to market particularly appeals to us.
